The Boring Formalities

These are the standard terms and conditions. All work undertaken by The Picnic Collective shall be on these terms unless specifically varied in writing and agreed to by both parties prior to the event.

Payment Schedule

All of our picnics require a 50% retainer that is non-refundable and due at least a week before your booking. This retainer covers styling and coordination, floristry and picnic services to secure the date. The remaining balance must be paid at least 72 hours prior to the booking. If your picnic is booked 7 days before the event then the full payment is required. Payment can be made by Credit Card.

Cancellations

In the event of bad weather, a client may reschedule a picnic within a 3 month period.

Bookings

No booking will be held without payment of 50% retainer. 

Equipment

All the picnic equipment belongs to The Picnic Collective and is to be returned in the same condition as you found it. Any loss or damage to the equipment will be charged for accordingly. Stains to linen and equipment will be cleaned accordingly and may result in dry cleaning or professional cleaning charges. 

Rescheduling

If you wish to reschedule due to other circumstances, we will require a minimum of 72 hours notice and must be approved by the picnic collective. availability varies.

Travel

A travel fee will apply for locations that are outside of OUR PREFERRED LOCATIONS

As from March 31st 2019, all gift vouchers are valid for 3 years.  Any vouchers received before that date have an expiry date of 1 year. No extensions are available, and vouchers are not redeemable for cash.

All Picnic Collective menus are subject to change, depending on seasonal produce availability. We reserve the right to replace an item on the menu with something equally as gourmet and delicious.

Our picnic gift vouchers can be used for picnics on any day except on Valentine’s Day or July 4th

The Picnic Collective gift vouchers cannot be exchanged for cash.

Unless specified, the cost of delivering the voucher recipient’s picnic is not included.

We require 48 hours notice for all picnics and cannot guarantee that that date you request is available.

Like any great restaurant, we do get fully booked, so our picnics are subject to availability.

PICNIC PROTOCOL CONTRACT

WE RESERVE THE RIGHT TO REFUSE SERVICE TO ANYONE.

PLEASE DO NOT BE LATE TO YOUR PICNIC. OUR PICNICS ARE TIME AND DAYLIGHT SENSITIVE, AND WE WILL NOT BE ABLE TO EXTEND YOUR TIME IF WE HAVEN’T PRE-ARRANGED. WE CAN GIVE A 10 MINUTE GRACE PERIOD.

PLEASE DO NOT APPROACH YOUR PICNIC SET UP EARLY. OUR TEAM MEMBERS UTILIZE EVERY MOMENT PERFECTING YOUR SET UP. IF YOU SEE YOUR PICNIC TABLE BEING PREPARED, PLEASE DO NOT WALK UP UNTIL YOUR START TIME.

PLEASE DO NOT SIT, STAND ON, OR MOVE OUR PICNIC TABLES AND EQUIPMENT.

PLEASE BE RESPECTFUL OF THE BEACH AND OTHER BEACH GOERS.

YOU ARE RESPONSIBLE FOR OUR ITEMS DURING YOUR ALLOTTED TIME. PLEASE TREAT OUR EQUIPMENT WITH CARE.

YOU ARE RESPONSIBLE FOR ANY BREAKS, STAINS, OR SPILLS TO OUR EQUIPMENT AND MAY BE CHARGED A CLEANING/ BREAKAGE FEE MINIMUM OF $50 AND UP DEPENDING ON SEVERITY OF DAMAGE.

PLEASE DO NOT LIGHT OUR CANDLES. THEY ARE FOR DISPLAY ONLY.

OUR TEAM WILL USE REASONABLE EFFORTS TO INCORPORATE CLIENT’S DESIRES, BUT PLEASE NOTE OUR SERVICES COME PRE-PACKAGED. WE WILL HAVE FINAL SAY REGARDING THE AESTHETIC JUDGEMENT AND ARTISTIC QUALITY OF SERVICE. IF YOU ARE LOOKING FOR A CUSTOM EVENT, WE WOULD LOVE TO WORK WITH YOU IN OUR EVENT PLANNING ASPECT OF OUR BUSINESS.

PLEASE DO NOT LEAVE YOUR PICNIC TABLE UNATTENDED FOR MORE THAN A FEW MINUTES.

OUR FLORAL ARRANGEMENTS ARE NOT TAKE-HOME ARRANGEMENTS. IF YOU WOULD LIKE TO KEEP THE FLOWERS, YOU CAN UPGRADE THEM FOR AN ADDITIONAL FEE TO KEEP AFTER THE EVENT

IN THE EVENT OF RAINY WEATHER, STRONG WINDS, HIGH TIDES, OR VARIOUS BEACH HAZARDS, WE MAY ADVISE A LOCATION CHANGE FOR THE ACCESS AND SAFETY OF OUR STAFF, CLIENTS, AND PROTECTING THE EXPERIENCE OF YOUR PICNIC.

IN THE EVENT THE WIND PICKS UP UNEXPECTEDLY AND OUR UMBRELLAS ARE NOT STAYING UPRIGHT, SIMPLY SLIDE DOWN THE LATCH AND LAY THE UMBRELLA FLAT ON THE GROUND.

IF YOU HAVE REQUESTED A LOCATION NOT LISTED, IT MAY BE SUBJECT TO A SELECT TRAVEL FEE DEPENDING ON MILEAGE AND ACCESSIBILITY AND THE LOCATION MUST BE PRE-APPROVED BY OUR TEAM.

THE PICNIC COLLECTIVE LLC IS NOT HELD LIABLE FOR ANY POSSESSION OF ALCOHOL OR OTHER SUBSTANCES. WHAT YOU PROVIDE IS UP TO YOUR DISCRETION, AND WE ARE NOT HELD RESPONSIBLE FOR ANY CONSEQUENCES.

CLIENT AGREES TO INDEMNIFY, DEFEND, AND HOLD HARMLESS VENDOR AND ITS AFFILIATES, EMPLOYEES, AGENTS AND INDEPENDENT CONTRACTORS FOR INJURY, PROPERTY DAMAGE, LIABILITY, CLAIM OR OTHER CAUSE OF ACTION ARISING OUT OF OR RELATED TO SERVICES AND/OR PRODUCT(S) VENDOR PROVIDES TO CLIENT.

IF YOU WOULD LIKE US TO ASSIST WITH PERMITTING YOUR PICNIC, WE CAN PROVIDE THAT SERVICE WITH OUR CUSTOM EVENT PLANNING SERVICE.

WE CREATE BEAUTIFUL CONTENT FROM OUR ACTUAL EXPERIENCES. WE SOMETIMES SHARE IMAGES CURATED FROM OUR EXPERIENCES ON OUR SOCIAL MEDIA AND ADVERTISING.

YOUR FULL PAYMENT IS DUE PRIOR THE DAY OF YOUR PICNIC.

WE HAVE A RESCHEDULE FEE OF 25% OF THE EVENT COST FOR CHANGING DATES. RESCHEDULES ARE SUBJECT TO AVAILABILITY AND A DATE MUST BE DECIDED WITHIN 24 HOURS OF THE REQUEST. ALL RESCHEDULED EVENTS MUST BE DONE WITHIN 1 YEAR OF ORIGINAL EVENT DATE. RESCHEDULING DOES NOT ADJUST THE CONTRACT BEYOND THE DATE OF SERVICE.

WE DO NOT PROVIDE REFUNDS.
